Use QuickBooks Custom Fields to improve your business reporting

If you’re a QuickBooks Online user (on their Advanced Plan), then you may or may not know that QuickBooks has it’s own Custom Fields.

You can use these Custom Fields to send more information from ServiceM8 to QuickBooks – for example:

  • You want the PO number you add in ServiceM8 to be added to the QuickBooks invoice – you can do that with a QuickBooks Custom Field.
  • You want to improve your QuickBooks reporting to group invoices by ServiceM8 Job Category – you can do that with a QuickBooks Custom Field
  • You want the job address to be added to the QuickBooks invoice so that you have that included in addition to the billing address – you can do that with a QuickBooks Custom Field**.**

To set up QuickBooks Custom Fields:

  1. Go to Settings  and select Custom fields.
  2. Select Add custom field. If you’ve already created a field, you’ll see Add field instead.
  3. Ensure that the Data Type is Text and number and that all Sales Forms (like Invoices, Estimates, Sales Receipts, Credit Memo, and Refund Receipt) are ticked.
  4. To see your new custom field information, you’ll need to export at least one invoice from ServiceM8 to QuickBooks. Only then will the updated custom fields appear under Settings > Preferences > Invoicing > QuickBooks Online. If you make changes to custom fields, you will have to export another invoice before the new custom fields can be seen in ServiceM8.
  1. In your ServiceM8 account, go to Account > Settings > Preferences > Invoicing > QuickBooks Online.
  2. Add the ServiceM8 field code to the equivalent custom field from QuickBooks Online, and save.

The information entered in the ServiceM8 field will sync to the QuickBooks Online invoice:

Notes

  • You can only use 3 Quickbooks Custom Fields, so choose wisely.
  • You have to be on the QuickBooks Online Advanced Plan to use their Custom Fields feature
